For home or office?

The single most useful way to classify MFPs is to classify them by purpose: home, office, or both. If you’re looking for a home MFP, you’re probably concerned about photo quality, which means an inkjet printer is a must-have among the features. Also, if photography is your primary interest and you’re looking for a way to print from virtually any source, you need a photo lab MFP. True, there are several options in this subcategory: you can identify them by their ability to scan slides and film strips, which most MFPs overlook.

Functions and features

Going beyond general notions about home and office MFPs, it’s helpful to make a list of the features you really need. Printing, scanning, and copying is a given, but even those basics aren’t as easy as you might think. For example, some MFPs are limited to scanning over a USB connection. If you plan to connect via a network, make sure that this function is provided by the MFP. The ability to scan transparencies is unusual enough that it is often singled out as a separate feature. Be sure to check the dimensions that the MFP can handle; transparencies are often limited to 35mm.

The fax feature almost always includes offline transmission, which you control using the MFP’s keyboard. But it doesn’t necessarily include PC Fax – faxing documents directly from your computer without having to print them first. Be careful if this feature is important to you. Email features also come in two forms. The Direct Email feature allows you to scan and send email directly to your Internet Service Provider (ISP) or internal mail server on your network. The most common option for low-end MFPs is to open an email message on a PC and add the scanned document as an attachment.

Most MFPs include flatbeds suitable for scanning photos or single-page documents. The Automatic Document Feeder (ADF) lets you easily scan (as well as copy, fax and e-mail) multipage documents.

Color print

If you never print in color, then there is no reason to spend money on this feature. However, keep in mind that many color laser MFPs can print at fairly high quality. This will allow you to print your own marketing materials, which is cheaper than printing from a print shop.

Printer size

MFPs tend to be larger than single-function printers. And some home MFPs can be so tall that they tower over you when placed on a table. Be sure to check the size and weight of the MFP, although you probably won’t be moving it very often.

Connection option

In addition to a USB port, many MFPs include Ethernet and/or Wi-Fi connections for easy sharing. If you prefer Wi-Fi, keep in mind that if you must have a wireless access point on your network. Some MFPs now include Wi-Fi Direct, allowing compatible devices to connect to them without the need for a wireless hotspot.

Quality and quantity

In addition to checking the print quality, you may need to check the scan quality. This is not a problem for offices, because almost any scanner can scan documents with a fairly high quality.
