Sharing an Excel file allows multiple users to access the same document at once. In some cases, this feature is more than useful. In this lesson, we will learn how to share an Excel file and control sharing options.
Excel 2013 makes it easy to share documents with OneDrive. Previously, if you wanted to share a book, you could email it as an attachment. But with this approach, many copies of files appear, which later become difficult to track.
When you share a file with users directly through Excel 2013, you are sharing the same file. This allows you and other users to co-edit the same book without having to keep track of multiple versions.
To share an Excel workbook, you must first save it to your OneDrive cloud storage.
- Click the File tab to go to Backstage view, then select Share.
- The Sharing panel appears.
- On the left side of the panel, you can select the sharing method, and on the right side, its options.

This area changes depending on which file sharing method you choose. You have the ability to choose and control the process of sharing a document. For example, you can set document editing rights for users who share the file.
Sharing methods
1. Invite other people
Here you can invite other people to view or edit the Excel workbook. We recommend using this option in most cases, as this option leaves you with the greatest level of control and privacy when sharing a workbook. This option is selected by default.
2. Get a link
Here you can get the link and use it to share the Excel workbook. For example, you can post the link on a blog or email it to a group of people. You have the opportunity to create two types of links, in the first case, users will only be able to view the book, and in the second, they can also edit it.
Here you can post a link to the book on any of the social networks that your Microsoft account is connected to, such as Facebook or LinkedIn. You also have the option to add a personal message and set editing permissions.
4. Send by email
This option allows you to send an Excel file via email using Microsoft Outlook 2013.
